Position Description:
The DFID-funded Education Quality Improvement Programme in Tanzania (EQUIP-T) aims to support 36 districts in their efforts to produce a better quality of primary education for more than two million children in over 3700 primary schools.

We have an exciting opportunity for an Office Manager in the Kigoma region to provide office administration, logistics and financial management support to the programme. Reporting to the Regional Team Leader you will be responsible for the supervision of an Office Support Assistant and two drivers in the Regional programme office.

Duties will include:

  • Overseeing all the administrative, financial, logistics, and facilities needs in the region;
  • Ensure that the regional office meets all the pre-set IMS (Integrated Management Systems) requirements under the direction of the Programme Operations Manager;
  • Produce regular rolling quarterly and monthly forecasts, submitting monthly site returns to the  Finance Manager in Dar es Salaam to feed into the monthly reconciliation and invoicing processes of the programme;
  • Maintain up-to-date programme accounts on the system to ensure that timely, accurate and appropriate information is available to the programme management team;
  • Liaise with administrative and technical teams to ensure accurate financial forecasting and prompt disbursal and reconciliation of expenditure;
  • Support the Regional Team Leader and/or the Regional Technical Specialists in preparing budgets for training events and workshops;
  • Supervise preparation of all payment vouchers, journal vouchers and cheques and ensure the timely settlement invoices;
  • Monitor expenditure and advise the Regional Team Leader and Programme Finance Manager of potential issues with regards to financial forecasting, disbursement or accounting;
  • Maintain a petty cash register and supervise the imprest accounts for regional based staff.
  • Work closely with all immediate colleagues and Government staff within the region to provide a high quality service to internal and external customers;
  • Ensure the maintenance of a healthy and productive work environment within the regional office.
Essential competencies/skills and qualifications
  • Degree level or equivalent
  • Relevant professional qualification in administration and office skills/ICT
  • Demonstrable experience providing administrative management to a professional team
  • Proven people management experience
  • Pro-active attitude with the ability to work under pressure
  • Excellent communication skills
Desirable
  • Previously worked within an international organisation
