Position Description:
Key Outputs

  • Invoice goods out to lodges through Quick Books;
  • Submit unlisted items requested by lodges to Warehouse Manager using appropriate form, along with necessary documents;
  • Receive all orders from lodges regarding dry goods, cleaning materials, perishables, etc and cc Procurement Manager;
  • Accurately convert lodge orders to Quick Books Sales Orders sheet, check LPO attached and attach Arusha CPO number;
  • Have all lodge orders signed off by Procurement Manager;
  • Ensure all orders are placed according to supplier preference and Arusha preferred suppliers;
  • Record all non-R and M received goods into Quick Books system;
  • Submit items for pro-formas to Procurement Manager;
  • Place orders on "unusuals" as per pro forma from Procurement Manager;
  • Assist R and M Buyer with R and M orders as necessary, as time allows;
  • Sort order issues between lodges and Arusha Procurement Department;
  • Check all orders upon delivery, using prices on order sheet compared to the invoice provided by the Supplier;
  • Print out blank and partially completed stock take sheets for weekly and monthly stock takes;
  • Assist in stock takes by transcribing stock take numbers from stock take sheets, filled in by the Warehouse Manager, onto the final stock take sheet and sorting issues/ balancing stock take sheets;
  • Assist in any other duties as assigned within designated department, or in the greater AndBeyond Company, as necessary.

KNOWLEDGE REQUIRED (QUALIFICATIONS OR TRAINING PROGRAMS)
  • CPA
  • At least 2yrs of experience in Accounts background
  • Quick Books or similar accounting package
  • Microsoft Outlook and Word
  • Extended knowledge in Excel will be a credit
  • Administration skills
